Executive Assistant will possess a positive attitude, be self-motivated, eager to learn, and a multi-tasker balancing routine duties with more diverse and complex tasks/projects in a fast paced environment. The ideal candidate will possess the ability to effectively execute plans with keen attention to detail, accuracy and timing; be an articulate / effective communicator, and able to partner with many persons across the organization, locally as well as internationally. Experience with the production and implementation of international branding initiatives, and product/sales/retailer programs a plus.
SCOPE:
Executive Assistant will handle a range of administrative tasks that support the effectiveness of the President. In addition, assistant will provide support for special projects including international organizational studies and evaluations, designing systems and procedures, conducting work simplifications and measurement studies, and preparing operations and procedures manuals to assist the Chief Executive Officer, Senior Management Team and the Global Sales & Marketing Executives in operating more efficiently and effectively. Candidate will also be responsible for global projects ensuring proper and consistent brand image globally allowing the company to maximize sales opportunities in the US as well as abroad.
REPORTING RELATIONSHIP:
Reports to: President / Chief Executive Officer
Works closely with: Board Members, Global Marketing & Sales Executives and their assistants, VP Marketing, VP Sales, CFO & VP Operations and outside Customers.
PRIMARY JOB RESPONSIBILITIES:
➢ Administrative
• Assist President: phone & mail screening, establish & maintain filing system, and arrange travel booking (incl. necessary Visa application and travel expense reporting)
• Gather input for monthly / quarterly mgmt reports and provide detailed statistical recaps
• Be primary liaison with German headquarter; coordinate meetings, manage the agenda, and ensure proper and timely communication with all parties involved
• Weekly reporting to German Management Board about key projects and ongoing operations
• Support all key CEO driven activities in-office or with clients
• Create PPT presentations and Excel sheets as needed
• Track and ensure adherence to Budgets
➢ Project Management and Special Projects
• Co-manage key CEO-Client relationships and aid in new customer acquisition
• Ensure proper project management watching the critical path and chasing deliverables
• Conduct organizational studies and evaluations to suggest work simplifications and procedure improvements to CEO and Board Members
• Optimize inner-office workflow and implement best practices for innovation management and reporting
• Prepare operations and procedures manuals to assist Global management in operating US operations more efficiently and effectively
• Aid in repositioning the Zwilling brand in the US market: brand and brand strategy development, alteration of brand image, market analysis, competition analysis, benchmarking analysis
JOB REQUIREMENTS:

➢ 4 year college degree or equivalent work experience
➢ Excellent organizational and project management skills; must be able to manage multiple tasks with accuracy and strict attention to deadlines
➢ Articulate and effective verbal and written communication skills
➢ Ability to work autonomously, take ownership of projects and drive to successful completion; effective time management skills
➢ Marketing experience in branded, premium, B2C consumer products company or agency
➢ Extremely proficient in Microsoft Word, Excel and PowerPoint.
➢ Fluent in German a plus, French would be helpful
